Efficient and secure relocation of a senior official from the German foreign office from Ulaanbaatar to Luanda

IPA conducted the complex relocation of a senior official from the German Foreign Office from Mongolia to Angola by land, air, and sea, ensuring the protection and integrity of both professional and personal belongings, including an extensive library and artwork.

Background

A senior official from the German Foreign Office commissioned IPA for his relocation from Ulaanbaatar to Luanda. The move was routed through Germany to load new purchases in accordance with the regulations of the Foreign Office. Additionally, a library containing 2,600 books and delicate artworks were part of the relocation. To ensure a smooth transition into the next diplomatic mission, the most important items were sent in advance by air freight.

Challenge

The primary challenge was to coordinate the relocation across multiple borders, utilizing all three modes of transport (air, land, and sea). Routing through Germany allowed for the inclusion of the diplomat’s new purchases, in line with the Foreign Office’s regulations. Ensuring the protection of confidential professional documents and the safe transport of personal belongings, including sensitive artwork and a substantial library of 2,600 books, was critical. A seamless transition into the new diplomatic mission was achieved by sending the most important items ahead by air freight.

Solution

1. Assessment and inventory of belongings
The diplomat arranged a detailed assessment of the household with an IPA moving consultant. Special requests were noted, and measurements of sensitive artworks were taken to create custom wooden crates. The library was inventoried to maintain the organizational structure.

2. Air freight organization
IPA organized air freight for 200 kg of essential items to ensure they were available at the new location. The rest of the belongings were transported by truck to Germany, where new purchases were added.

3. Packing and preparation in Ulaanbaatar
In Ulaanbaatar, the furniture was professionally dismantled by IPA, packed, and loaded onto the truck. The 2,600 books from the cherished library were packed and loaded in such a way that they could be placed in the exact same order upon arrival in Luanda. Paintings and artworks were packed according to the diplomat’s wishes to be hung in the same arrangement at the new residence.

4. Truck transport and transit clearance for the main shipment
The truck traveled for 23 days from Ulaanbaatar to Berlin. Upon arrival in Berlin, the shipment was unloaded at the Ludwigsfelde storage facility, new purchases were added, and the sea container was loaded. All customs formalities were handled through transit clearance.

5. Sea freight and transport to Angola
The sea container was transported to the port of departure. Throughout the entire process, the diplomat remained in constant contact with his dedicated IPA representative, could track the shipment, and received regular updates.

Result

The relocation was completed successfully and without any incidents. All items, including the valuable library and artwork, arrived safely and in the desired order in Luanda. The German diplomat was able to start work in the new location without any delays.
